What we collect, and why.
Plain language, no dark patterns. This describes how Actualcast handles data today. It is not legal advice, and it is not a substitute for the agreement your company signs.

What we collect
Account data: your name, work email, and the organisation you belong to. Connection data: the OAuth tokens for the CRM and calendar you connect, encrypted at rest. Meeting data: recordings, transcripts, and the deal facts extracted from them. Product data: which facts were confirmed or rejected, by whom, and when.
Why we collect it
To do the one thing the product does: turn what was said on a call into confirmed CRM updates, with the evidence attached. We do not sell data, we do not use your transcripts to train models, and we do not share meeting content with anyone outside the processors named below.
Who processes it
A short, fixed list, each for one purpose: Recall.ai for recording and transcription, Anthropic for extraction, and our own infrastructure for storage. Payments, when billing opens, will run through Paddle as merchant of record. Nothing else touches your meeting content.
How long we keep it
Audio is kept for 180 days by default. Transcripts and confirmed facts are kept for the life of your account so the audit trail on a deal stays intact. You can ask us to delete an organisation’s data, and until the self-serve control ships that request is handled by hand.
Your rights
You can ask what we hold about you, ask us to correct it, and ask us to delete it. Email privacy@actualcast.com and we will act on it.
Changes
When this policy changes in a way that matters, we will say so on this page and date it, rather than quietly editing it.
