The capabilities, in depth
Actualcast turns your sales calls into deal updates you can trust. Each fact is shown next to the quote it came from, a rep confirms it, and only then does it reach HubSpot. Built for VPs of Sales and RevOps at mid-market B2B teams running HubSpot. Here is what every part does, and why it earns a place in your pipeline review.
Every fact carries the exact quote it came from
Actualcast does not hand you a paragraph you have to take on faith. It pulls out specific deal facts, the close date, the amount, the next step, and shows each one next to the exact transcript quote and the timestamp it was said. If a fact cannot be located word for word in the transcript, it is dropped rather than guessed at. You are always one click from the moment in the call behind any update.
Quote and timestamp on each fact
Every extracted fact links to the exact words from the call and the second they were spoken, so you can check any update against what the buyer actually said instead of what a rep remembers.
Nothing invented
A fact that cannot be found in the transcript is discarded. There is no filling in gaps and no update that traces back to something no one said on the call.
Faster to trust, faster to correct
When a manager questions an update in a pipeline review, the evidence is right there. No hunting through a recording, no pulling the rep in to ask what they meant.
Nothing reaches HubSpot until a person approves it
Actualcast never writes to your CRM on its own. Every fact waits in a review queue until a rep confirms it, edits it, or rejects it. This is enforced in the code, not just in the interface, so the rule holds no matter what. The pipeline you review is the pipeline a person signed off on, fact by fact.
Confirm, edit, or reject
A rep accepts a fact as it stands, corrects it before it is saved, or throws it out. Only confirmed facts are ever written to HubSpot.
Enforced in the write path
The rule that nothing writes without confirmation lives in the code that does the writing. Approving the same fact twice still writes exactly once, and a rejected fact writes nothing at all.
Accountability by default
Because a person signs off on every update, you always know a human stood behind what is in the CRM, not a process running unattended overnight.
Clear a call's updates in about a minute
Review is where most tools lose reps, so this is the part Actualcast made fast. The queue is built for the keyboard. A rep moves through a call's facts, approves the right ones, fixes the close ones, and drops the rest without reaching for the mouse. Most calls clear in about a minute, which is the difference between reps doing it and reps skipping it.
Keyboard-first controls
Use j and k to move between facts, e to edit, Enter to approve, x to reject, and u to undo. A rep can run the whole queue with their hands on the keys.
One call at a time
Facts are grouped by the call they came from, so a rep clears the updates from a single meeting in one short pass instead of chasing them across the CRM.
Undo without fear
Pressed the wrong key mid-queue? u reverses the last action, so moving quickly never costs you accuracy.
Updates land where reps already work
Confirmed facts do not sit in a separate app that no one opens. They are written straight into HubSpot in the shapes your team already reads: a note, a task, and property updates on the deal itself. Reps do not change how they work, and managers see the same records they always have, now current.
A note with the quote
Each confirmed update is written to the deal as a HubSpot note that includes the transcript quote behind it, so the evidence travels with the record and anyone can check it later.
A task for the next step
When the call sets a next step, Actualcast creates a HubSpot task for it, so the follow-up lives on the deal instead of in someone's memory.
Close date and amount updated
The deal's close date and amount are updated on the record itself, so pipeline value and timing reflect what was said on the call, not what was last typed weeks ago.
The narrowest scopes that do the job
Actualcast connects to HubSpot on the least OAuth scopes it needs: read your deals and write the confirmed facts. Nothing more is requested.
See which deals are real, and which need work
A deal inspection dashboard reads your pipeline and flags the deals with hygiene problems, the ones that quietly break a forecast. Filter by owner, stage, and flag to run a clean pipeline review or to coach a single rep from the deals that actually need attention. There are five flags.
No next step
Deals with nothing scheduled to move them forward. Usually the first sign a deal is drifting.
No activity in 14 days
Deals that have gone quiet for two weeks, so you catch them before they go cold.
Close date in the past
Open deals whose close date has already passed, the clearest sign a forecast is out of date.
Single threaded
Deals tied to just one contact, where losing one person means losing the deal.
No amount
Deals with no value set, which quietly distort pipeline totals and the number you commit to.
Filter by owner, stage, and flag
Slice the pipeline to one rep, one stage, or one problem, so a review or a coaching session starts from the deals that need it, not the whole list.
A record of every fact confirmed for a deal
Each deal carries a timeline of the facts confirmed for it, with the evidence behind each one and who confirmed it and when. When a deal is questioned in a review or handed to a new owner, the history is already written. Nobody has to reconstruct how the deal got here.
Every confirmed fact, in order
The timeline shows what changed on the deal over time, not just its current state, so you can see the path the deal took.
Evidence and attribution on each entry
Every entry keeps its quote and timestamp, plus the name of the rep who confirmed it and when. Nothing on the record is anonymous.
Ready for handoffs and reviews
A new owner or a manager can read the deal's real history in one place, without pulling the rep into a call to explain it.
An audit log for every CRM write
Beyond the deal timeline, every write to HubSpot is logged, so there is a complete account of what Actualcast changed and when.
The bot joins the calls that matter, and only those
Actualcast records your external sales calls by joining as a participant on Zoom, Google Meet, and Teams. Recording is on by default so reps never have to remember to switch it on, and there is a per-meeting off switch for the calls you would rather keep off the record. You connect a calendar once and the bot handles the rest.
On by default, off when you choose
Recording is on for external meetings out of the box, with a per-meeting switch to skip any call. Nothing is missed by accident, and nothing is captured against your wishes.
Across the tools your buyers use
The bot joins meetings on Zoom, Google Meet, and Teams, so your coverage does not depend on which platform a buyer picks.
Transcribed with speaker turns and timestamps
Each recording becomes a transcript that shows who said what and when. That transcript is the foundation for facts you can trace straight back to the call.
Recordings you control
Audio is deleted after a retention window that defaults to 180 days, and you can have an organization's recordings and transcripts deleted on request.
See it on your own calls
Request early access and run the full loop on real meetings. Nothing is written to HubSpot without a person confirming it.
